RealtyWyze ("we," "us," "our," or "Company") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our platform (the "Service"), designed for independent real estate agents and small brokerages.

1. Information We Collect

1.1 Information You Provide

• Account Registration: Name, email, phone number, agency/brokerage name, business address, license information
• Contact & Lead Data: Names, phone numbers, emails, property interests, notes, and communications you enter about buyers, sellers, and leads
• Payment Information: Billing address, payment method (processed securely via Stripe; we do not store full card details)
• Files & Documents: Listing photos, documents, contracts, disclosures, and other files you upload
• Communications: SMS messages, call recordings, emails, and AI voice agent transcripts with your contacts

1.2 Information Collected Automatically

• IP address, browser type, device information, pages visited, time on page, referrer URL
• Session replays (sampled): interactions with the platform to help us diagnose issues and improve usability
• Analytics: feature usage, login timestamps, action patterns

2. How We Use Your Information

• Service Delivery: Provide and maintain the platform, process transactions, send transactional emails
• Communication: Respond to inquiries, send product updates, billing notifications
• Improvement: Analyze usage, fix bugs, develop new features, improve user experience
• Safety & Compliance: Detect fraud, enforce Terms of Service, meet legal obligations
• AI Features: Generate listing descriptions, lead summaries, and voice agent responses using your data (governed separately in our AI Service Addendum)

3. RealtyWyze-Specific Data Handling

3.1 MLS Data Storage

If you integrate RealtyWyze with an MLS (Multiple Listing Service) through our Bridge API or manual entry, MLS listing data (property details, photos, status, price history) is retained in your RealtyWyze account while your account is active. When you delete a listing or cancel your account, MLS data is deleted within 30 days. You remain responsible for compliance with all MLS board data usage policies.

3.2 Buyer Profiles and Search Criteria

If you create buyer profiles in RealtyWyze (e.g., "3BR, $900k-$1.1M, Pasadena area"), this information is stored securely in your account. Only you and authorized team members can access buyer profile data. Buyer profiles are retained while your account is active and deleted within 30 days of account cancellation.

3.3 Showing Request and Feedback Data

Showing requests, confirmations, feedback, and attendance records are retained for 2 years for audit, history, and dispute resolution purposes. After 2 years, this data is deleted. Post-showing feedback (buyer interest level, agent notes) is retained in your account timeline indefinitely unless you manually delete it.

3.4 Listing Photos and Media

Listing photos from MLS or manually uploaded are stored in Supabase Storage (encrypted). Photos are retained while the listing exists in your account. Deleting a listing deletes associated photos. Photos are not retained after account cancellation.

4. Session Replay and Analytics

RealtyWyze uses Sentry for session replay and error tracking. During normal use, we may record a sampled subset (5%) of user sessions to diagnose performance issues and improve the platform. Session replays may include text input, property photos, and conversation content.

You can opt out of session replay: contact privacy@realtywyze.us and we will set an opt-out flag in your browser.

5. Data Sharing & Disclosure

We do NOT sell or share your personal data with third parties for marketing. We share data only as follows:

• Service Providers: Payment processors (Stripe), email (Resend), cloud storage (Supabase), AI inference (Anthropic, Groq), voice agents (Retell), analytics (Sentry, PostHog, Vercel)
• Legal Requirements: Law enforcement, regulatory agencies, or court order
• Business Transfer: In event of merger, acquisition, or asset sale

6. Data Retention

• Account Data: Retained while your account is active
• Deleted Contacts/Leads: Soft-deleted and marked as deleted; hard-deleted 90 days after cancellation
• Backups: Encrypted daily backups retained for 30/60/90 days (daily/weekly/monthly rotation)
• Audit Logs: Retained indefinitely for compliance and security investigation
• Session Replays: Retained for up to 90 days in Sentry

7. Your Privacy Rights

CCPA / CPRA (California)

If you are a California resident, you have the right to:

• Know what data we collect
• Request deletion of your data (subject to legal retention requirements)
• Opt out of the "sale" or "sharing" of personal information for cross-context behavioral advertising (we do not do this)
• Receive a response to your request within 45 days

GDPR (EU)

If you are an EU resident, you have the right to access, correct, delete, restrict processing, data portability, and object to processing. Submit requests to: privacy@realtywyze.us. Responses within 30 days.

8. Data Security

• Encryption in Transit: TLS 1.2+ for all connections
• Encryption at Rest: AES-256 for database and backups
• Authentication: Supabase Auth with password hashing, optional 2FA
• Access Controls: Row-level security (RLS) ensures you can only access your own data

9. Cookies & Tracking

We use essential cookies for authentication and session management. We use analytics cookies (PostHog, Vercel Speed Insights) to understand feature usage. You can disable non-essential cookies in your browser settings.

10. Third-Party Links

Our platform may link to third-party sites (Google Calendar, Gmail, Stripe Dashboard, etc.). We are not responsible for their privacy practices. Review their policies before submitting data.

11. Children's Privacy

RealtyWyze is not intended for users under 18. We do not knowingly collect data from minors. If we discover we have collected data from a minor, we will delete it promptly.

12. Changes to This Policy

We may update this policy. We will post the new version on this page and update the "Last Updated" date. If changes materially affect your rights, we will send email notice.
